The overwhelming response we got from you was that you only needed to see and action receipts that hadn’t already been processed and exported into your accounting software.

To that aim, we’ve released the first iteration of the pending receipts table ("pending receipts" are different from receipts "awaiting processing"). This solution covers the following questions:

1. How do I access the pending receipts page?



You will see a pending receipts link for each account listed in your Client Accounts list. Clicking on this link will take you to that account's pending receipts page, where any receipt not already exported to your accounting software will be listed. From here, you can check the receipts, make any data edits as required, code them appropriately and export them to your accounting software.

 2. How do I link my client account and my accounting software?

You'll need to do this for every new account as each account links to a different accounting software file.  All you need to do is click on the Link Account button and you will be guided through the process step by step.

3. How do I edit receipts in the pending receipts list?

Simply click anywhere in the row of the receipt you need to edit and it will convert into editable fields.

If you're happy with the data entry that has already been performed, all you need to add is the GL Code (unless Squirrel Street has already added them through the categorisation Rules you've created - see here to create Rules).  Click on the down arrow to the right of the editable GL Code field and it will display your chart of accounts.  You'll need to select a code for each receipt you wish to export.

4. How do I save my edits?

When you've finished editing your receipt, click anywhere outside the row (or into the next row you need to edit) and Squirrel Street will autosave the previously edited row.

5. Why are some of my receipts not exporting?

Receipts must be assigned a GL Code for them to be exported successfully to your accounting software.

If your receipt has a GL Code assigned but you’re still getting an error on export, hover your cursor over the error icon for further causes of the failure.

6. How do I add a new category for my receipts?

  • Click on the row of the receipt you want to edit

  • Click on or tab over to the “Category” field

  • Type in your Category

  • From the drop down menu select ‘Add new’

  • Click out of the row. Your new category has been created and saved.



NB - if this is the only category assigned to the receipt and it does not exist in your current chart of accounts, it will not export successfully.

7. How do I export my receipts after editing them?

Assuming you have already linked up your accounting software with Squirrel Street, click on the Export Now button to immediately export coded receipts.

Handy tip: If you have "auto-export" selected as your default export setting, Squirrel Street will automatically export coded receipts every even hour (e.g. 12 pm, 2 pm, 4 pm)
